About PropOS

What is PropOS?

PropOS is a rental application platform for South African property professionals, applicants, and owners. It connects property setup, participant requirements, documents, checks, review, recommendation, and the recorded owner decision.

The platform supports the application and review process. It does not negotiate a lease, hold deposits or rent, or make the final decision.

Where can PropOS be used?

Participating rental applications can be managed across South Africa. Availability of a particular verification or screening check can depend on the person, entity, document, provider, and information supplied.

Does PropOS support residential and commercial properties?

A property can be residential or commercial immovable property in South Africa. The application type, participants, information, documents, and checks may differ according to the property and proposed lease.

Is PropOS a property management platform?

It focuses on the rental application process, from property setup and invitations to review and a recorded decision. It is not an end to end property management, lease administration, deposit, rent collection, or trust accounting platform.

Applications

Which application types does PropOS support?

Individual, joint, and company applications are supported. A company application can include the applicant entity and the directors, authorised signatories, trustees, or other representatives required for that application.

Can I reuse my profile information?

Your renter profile can hold common personal information, employment, rental history, financial information, and documents for participating applications. You still review and confirm the requirements for each property before submission.

Updating your profile does not rewrite an application that has already been submitted.

How do I know what each participant must complete?

Requirements are assigned to the relevant renter, joint applicant, company, director, authorised signatory, trustee, or other participant. Each participant can see the information, documents, declarations, signatures, and payment assigned to them.

Can a foreign national apply?

A participating foreign national can submit a supported passport and the visa or permit documents required for the application.

Supported foreign financial information remains in its source currency. Where an exchange rate is available, an approximate South African rand equivalent may also be shown for review. A passport holder may follow a different credit screening path without the absence of a South African consumer report being treated as an adverse result by itself.

What is shared when I submit an application?

The responsible property professional receives the submitted applicant and participant information, documents, declarations, payment status, relevant check and screening status, financial and affordability information, references, and application history available for review.

A different property professional does not receive a list of the other properties to which you have applied merely because they use the platform.

Can I submit while something is still outstanding?

Submission may be blocked while required applicant information, documents, declarations, signatures, or payment remain outstanding. After submission, provider checks or internal screening may still need to finish before the application is ready for property professional review.

Review and decisions

Are property professional registrations reviewed?

A property professional account remains pending while a reviewer checks returned practitioner PPRA and FFC information. Where an agency is involved, review may also include firm results and company registration checks.

Approval records the result of that account review at the time. It is not a guarantee of continuing registration, authority, or conduct.

Which checks may support an application review?

Depending on the application and provider coverage, review may include identity document, passport, visa or permit, company, director, document, bank statement, credit screening, professional registration, fraud check, and risk signal status.

These checks can identify inconsistencies and provide review context. They do not guarantee identity, authenticity, accuracy, future performance, or the absence of risk.

What does the property professional review, and what does the owner receive?

The property professional can review the submitted application, documents, relevant verification and screening status, financial profile and affordability measures, references, and activity needed to prepare a recommendation.

The owner receives an application summary, the property professional's recommendation, and relevant supporting information. The owner does not receive raw credit bureau reports, raw verification provider payloads, or detailed internal bank statement analysis merely because an owner review was shared.

Does the property professional receive credit information?

Where the relevant application instruction or consent and provider rules allow it, an authorised property professional reviewer may receive credit screening status and relevant information made available for review. They do not receive a raw credit bureau report unless expressly authorised.

Using the platform does not by itself constitute consent for a credit bureau check. When consent is required, it is requested in the relevant application flow. Raw credit bureau reports are not sold, resold, or independently commercialised.

Does PropOS decide who gets the property or guarantee future performance?

The platform organises the application and provides checks, affordability measures, references, fraud checks, risk signals, and review context. The property professional prepares the recommendation, and the owner remains responsible for the final decision.

No check, payment, recommendation, or recorded status guarantees approval, a lease, or how an applicant will perform in future.

Access and fees

What does renter access include, and when does it end?

Renter access supports participating applications. It includes reusable profile information and common documents, participant coordination, application completion, and status visibility for the access period shown at checkout.

When access ends, you cannot submit a new participating application until new access is activated. Existing submitted applications and their review history remain available as the platform permits. See the Pricing page for the current access period and fees.

What are the current prices, and when is the property professional platform fee due?

The Pricing page shows the current applicant fees, chargeable participant fees, access period, and property professional platform fee calculation.

There is no upfront property professional platform fee for setting up a property, inviting applicants, or reviewing applications. The platform fee becomes due only after a lease is executed for an application started on the platform.

Does paying improve my chance of approval?

Payment activates the access or participation described at checkout. It does not guarantee a completed check, a favourable review, approval, a property, or a lease.

What happens if payment is incomplete or fails?

Access or a chargeable participant requirement remains outstanding until a successful payment confirmation is received. Check the payment status before trying again so that you do not intentionally create a duplicate payment.

If a successful payment is not reflected after a reasonable processing period, use the support link in the footer and include the payment reference.

Can I get a refund?

Applicant fees are generally not refundable after the related access or participant entitlement has been activated, except where applicable law requires otherwise or a refund is approved. Duplicate, error, and unmatched payment requests are reviewed against the payment record.

Privacy and support

Where is my information stored and processed?

The core production application and database are hosted in a South African cloud region. Some providers may process limited information in other countries when they provide communications, observability, support, payment, verification, or similar services.

The Privacy Policy explains the safeguards and limits.

How can I correct or delete my information?

Update routine account details in your profile. If your name, date of birth, or identity document details need correcting after an identity check, upload a replacement identity document in Profile > Documents.

For an exceptional correction or deletion request under section 24 of POPIA, follow the Form 2 process in the Privacy Policy. Some records may still need to be kept where the law allows or requires it.
